The Q3 POA dues invoices will be emailed early next week, and here’s what to look for:
The email sender is “Intuit E-Commerse” (quickbooks) with subject line “Invoice from Hilton head Island Motorcoach Resort” (email screenshot attached).
Unless a NEW Authorization form with the convenience fee is on file, all auto-pays are turned off, and owners will receive an email with a pay-by-check invoice.
If you receive a pay-by-check invoice but wish to change your account to pay-by-credit and set up auto pay, simply fill out the NEW Authorization form with the convenience fee, (attached) and email it to: ‘barbara@islandfinancialhhi.com’, by July 1st.
Either way, Owners are responsible for initiating payment or submitting authorization forms.
Please keep in mind that the old authorization forms CANNOT be modified. State Law requires us to obtain new forms that spell out the convenience fee % and $ amounts.
In addition to the various pay-by-check options, there is now a “Bank Transfer” option which is also free of charge. This option requires bank routing and account number. It can only be initiated by the email recipient and cannot be set up as auto-pay. To pay by Bank Transfer use the “Pay now” button that comes with the email and follow the instructions.
As you will notice in the attached sample, the invoices have been revised to include and highlight the following:
· The current invoice due date, as well as the recurring due dates, which are the 1st day of each quarter, not the 30th.
· Clarify that all checks must be made payable to “HHIMR” (not Island Financial)
· The Island Financial mailing address.
· The overall account balance including past due amounts, and
· The Island Financial contact information.
