Happy Owners Week!

The week has arrived and I look forward to seeing everyone. It is going to be a fun week and I hope everyone enjoys their time in Paradise!

Reminder: Vendors are allowed with NO NOISE producing work, coaches may only receive SOFT WASH only, no pressure washers.

The resort is busy with guests and owners. The beautiful weather has caused the roadways to be busier with bike riding, dog walking, and socializing. Just a few reminders that as owners you should be setting a good example for our guests:

Electric bikes- Pedal assist ONLY in the resort.

Driving vehicles – Speed limit is 10MPH

Leash rule – All Dogs are to be on a leash; AT ALL TIMES, regardless of how well behaved your dog is. Dog leashes are to be less than 6 feet long.

I would like to discuss the staff responsibilities. We are hired to maintain the beauty and day to day operations of the resort. We are the direct contact for all outside vendors we hire to complete a job in the resort. We ensure all buildings are up to code and in working order. I am requesting that when you have questions pertaining to a project being done, do NOT approach the vendor, instead contact Wendy, Terrence, or Mark for your answers. If you see something that is broken or may need to be tested, example pool heaters, please contact Mark. He is the only one authorized to operate any Resort Asset. We appreciate everyone’s set of eyes and communicating to us what you witness, see, or hear. We all have the same goal of keeping the resort PARADISE for everyone to enjoy.

Palmetto Coastal will begin spot mowing sites this coming week. If you do not want your site to be mowed at all this season please send me an email with your site number, we will be creating a chart to follow each week.

Board and Owners Meetings Attendance on March 23rd

So that we can ensure only eligible members are attending the Board and Owners Meetings on March 23rd, and to determine if a quorum is achieved, the following guidelines will be followed:

       I.           In-Person Attendance Registration:

a.      You will be checked in at the door and will sign in

b.     You must show your HHIMR ID badge

     II.           Zoom Attendance Registration:

a.      You must pre-register for the meetings (zoom pre-registration instructions will be sent a few days before the meetings)

b.     When you pre-register, you will be sent a confirmation that your registration was either accepted or rejected

                                                              i.     If it was accepted, you will be provided with the zoom login information

                                                            ii.     If it was rejected, you will receive notification of why it was rejected and if warranted, you will be given the opportunity to correct the information and pre-register again.

   III.           Proxy Attendance Registration:

a.      If you cannot attend either in person or via zoom, your eligible membership can be counted via proxy. The proxy form can be found on the “Owners Portal”, under “Documents & Forms”, “HHIMR Proxy 2024”. The deadline to submit a proxy to Wendy is noon on March 22nd. It must be received by Wendy either via mail or emailed to her at manager@hhimr.com.

To avoid double counting of multiple owners of the same lot, only one member of a lot may register for attendance. In other words, one lot owner may not attend and register in person and the other owner of the same lot attend and register via zoom.

For those attending on Zoom, in the event there is an owners vote, zoom attendees will be able to vote only by proxy. Therefore, if you will be attending via zoom, you can obtain a proxy form on the “Owners Portal”, under “Documents & Forms”, “HHIMR Proxy 2024”. The deadline to submit a proxy to Wendy is noon on March 22nd. It must be received by Wendy either via mail or emailed to her at manager@hhimr.com.

 

New South Carolina Concealed/Open Carry Gun Laws as of 3-07-2024

The SC concealed/open carry gun law statute has been completely rewritten and the focused change is on who can carry a handgun. Please be advised that the Hilton Head Island Motorcoach Resort prohibits the concealed or open carry of a weapon in all of the community buildings (e.g. clubhouse, fitness room, etc.) and common areas (e.g. greenspace, pool area, paradise island, dog park, pickleball and tennis courts, etc.) within the resort. Furthermore, having a Concealed Weapons Permit does not authorize a person to carry a concealable weapon into these places. In compliance with Section 23-31-235, Wendy is in the process of obtaining the required signs that will be posted on the premises.

The fence along the pickleball court has been cut to 4′ high, and a gate has been added. This is the start of the seating area project. The gate has been locked until the project is complete.

Benches have been relocated in the common area around the Clubhouse for Owners Week. They will be returned to their normal locations once Owners Week is over.

The final “so we thought” pagoda light that had an underground issue has been repaired. We have found 2 more that have a short.

Pool heater repair is not complete. The unit display boards have been received by the manufacturer and are being shipped to our vendor. The pool service is not responsible for the heaters. They are controlled by the resort and serviced by our HVAC company.

Thank you for your patience on Tuesday while the backflow was being repaired. Water was off for 2.5 hours. Much quicker than anticipated.

**Insurance companies are warning campers that if their tents are stolen during the night, they will not be covered.**

Activities

At time of writing, there are still a small number of spots available for some of the events (some owners registered twice in error making the event(s) appear full). Should an event be full, owners will be placed on top of the waitlist and obviously cleared before any guests or renters as space becomes available. Please contact the office if you wish to be placed on the waitlist for an event.

Owners Week is all about you, our owners. We set registration up to allow one reservation for up to two people per lot, this kept it fair for all. There may have been some confusion over allowing guests and renters to participate in the events, let us clarify. To avoid getting the black-eyes of the past on Upscale RV where renters commented that they were shunned during owners week, just like in the fall, we decided not to exclude them. However, any interested guests/renters will be placed on a waitlist for the event they are interested in. Should space be available the day before the event, after any owners are moved off the waitlist, they will be moved to the event list upon payment of a $25 fee per person per event meal (excluding the pizza and wing night) which will allow the resort to cover some of the cost for the meal being served. The entertainment is already a sunk cost for the resort for all owners to enjoy. The Monday night Pizza & Wing night will be open to all.

Any guest or renter is welcome to come along to the music or entertainment portion, understanding that if in the upstairs clubhouse, we still need to adhere to the 170 maximum fire marshal capacity.

We asked that you only registered for an event if you actually intend to participate. Sadly each owners week, in particular for free to attend events, we see some people just making a reservation for the sake of it, just in case they decide to go. Unfortunately, this fills the event(s) up quickly as well as blocking people that really do want to attend. If you find your plans changing, “PLEASE” call the office to cancel your reservation so it may open a spot up for others on the waitlist. Please try and give at least 24 hours cancelation notice so the office has time to update the attendee sign in sheet for each event. Again, due to capacity controls, only registered participants will be admitted to and/or served meals.

As an FYI, below are the per person meal costs to the resort for the Spring Owners Week:

Wednesday Dinner by Pomodori: $35

Thursday Wine Tasting at Kind of Blue: $20

Friday Dinner by Kind of Blue: $40

Saturday Dinner by Captain Woody’s: $55

We still hope to hold as many of the events as possible outside around the pool with the exception of the Wednesday Comedy Magician and Saturday Prom Night Dinner & Dance that will be in the upstairs clubhouse. With the clocks moving forward keeping it lighter into the evening, as well as expected temperatures to be in the high 60’s, low 70’s, we hope fun around the pool will prevail, keep your fingers crossed.

Dessert by Loop’s: Please don’t forget that we are asking loops to provide a desert dish to pass on specific nights as a sweet ending to dinner with some of the delicious desserts you’ll make or bring. As a reminder, here are the nights by loop number.
